#35 – DIY Directory with Databases

This week we’re talking about a third use case for Confluence Databases: directory management. Plus, Atlassian introduces public whiteboards and AI now can label your pages automatically.

Directory Management with Confluence Databases

With the introduction of Confluence databases, we at K15t jumped right in and organized a lot of our data with this fantastic new feature. In our previous newsletters, we've shown you how to manage your content and even build a neat little CRM system. Today, we're excited to share how we use Confluence databases to manage our teams by creating a people directory.

At K15t, Confluence is our go-to tool for managing information. Every team uses it, and each team has a dedicated space to handle their projects, meeting notes, and more. The homepage of each space gives an overview of the team’s purpose, current projects, and members. The team member info is managed in our people directory, so let's explore how we built it!

Manage Your Organizational Structure in Confluence Databases

To manage your organizational structure, start by creating a database for all the people in your company. At K15t, we call it the people directory. This database should include each person's name, picture, working hours and days, team or department, location (city, remote, etc.), and role within the team.

Next, create your team directory. This directory contains all the teams, like product teams, marketing teams, design teams, and so on. This database should have information about each team, such as their name, logo, mission, Confluence space, the products they're working on, and, you guessed it, their team members.

Using an entry link in Confluence databases, you can link entries from two different databases. This is super handy because if a team member switches teams in the future, you only need to update the link in the database once, and it changes everywhere.

At K15t, we now embed the people directory into each team's Confluence space and set a filter for the team. This way, all the team members show up on the space homepage with their image, name, location, and working hours. It's a great overview for anyone outside the team who wants to connect on a specific topic.

This is just one of the five use cases we’re sharing with you over the next few weeks. Confluence databases offers many more possibilities.
